Philadelphia Open Studio Tours Terms and Conditions 

By registering for POST, individual Artists and Businesses (known as Community Partners) agree to the following terms. By submitting this application, participants have fully read and agree to comply completely with all rules and regulations of the Philadelphia Open Studio Tours.  

 

1. Eligibility: 

a. The event is open to artists and businesses residing within the city limits of Philadelphia, Pennsylvania. 

b. All participants must be 18 years of age or older. 

c. All participating artists must participate in a studio space that is accessible to the public during event hours. All participating businesses must be accessible to the public during event hours.  

d. It is the responsibility of the artist to locate a studio space accessible to the public. CFEVA may be able to help with placement if the artist requests with advanced (no less than 6 months) notice.  

  

2. Registration: 

a. Artists interested in participating must complete the online registration form by July 31, 2024. 

b. A non-refundable registration fee is required to participate in the event. 

c. If an individual cannot participate due to personal injury, emergency, or otherwise extenuating circumstances preventing the location from being accessible for the event, registration is transferrable.  

d. Registration is for one individual (i.e. one individual artist or one individual business). Registration is not to be shared. 

e. Artist Registration includes one year of CFEVA Core Membership valid from the date of registration.  

  

3. Artist Studio Guidelines: 

a. Participating artists must open their studios to the public on the scheduled event dates and times. 

b. Studios must be kept in a safe and clean condition throughout the event. 

c. Artists are responsible for the security of their own artworks and belongings during the event. 

d. Artists are asked to keep track of the number of visitors to their individual studios with sign-in sheets provided by POST. POST organizers will request this information at the conclusion of the event.  

 

4. Promotion and Marketing: 

a. The event organizers have the right to use images and information provided by artists for promotional purposes. Artists maintain the right to their own images.  

b. Participants are encouraged to promote the event through their own channels using the How to POST guides, information sessions, and other resources found on the event website.  

 

5. Print Materials 

a. Participants agree to utilize the marketing materials provided (both digital and print collateral) to promote the event to the neighborhood and fellow artists and art associations.  

b. It is the participants’ responsibility to promote open studios through one's own channels in addition to CFEVA's marketing for the city-wide event.   

c. Participants agree to pick up the POST materials (print directory, map, postcards, posters, balloons) at the designated pick-up location in advance of their open studio weekend. 

 

6. Online Profile 

a. It is the individual’s responsibility to complete their online profile accurately to be included in the print collateral.  

b. Uploading accurate information is the responsibility of the individual. Failure to enter the correct location and address in the specified format will hinder visitorship.  

c. If a participant’s profile is not complete by the deadline listed on the POST website, they will not be included in the collateral this year and will not be included in the program.   

d. CFEVA reserves the right to remove inaccurate or inappropriate content. 

 e. CFEVA reserves the right to remove an individual’s profile information from the registration platform if their registration is terminated for any reason. 

f. CFEVA reserves the right to crop Thumbnail images to fit the format of the print materials. Images not uploaded to a high resolution will not be included in print.  

 

7. Sales and Transactions: 

a. Participating artists may sell their artwork during the event.  

b. All sales transactions are the responsibility of the individual, and the event organizers are not involved in financial transactions. 

  

8. Liability: 

a. Participants are responsible for their own liability insurance. 

b. CFEVA is not liable for any loss, damage, or injury that may occur during the event. 

  

9. Code of Conduct: 

A. Participants must behave professionally and respectfully. 

b. Any behavior deemed inappropriate by CFEVA may result in the participant’s removal from the event and any future participation.  

  

10. Event Changes or Cancellation: 

a. The event organizers reserve the right to make changes to the event schedule or cancel the event if necessary. 

b. In the event of cancellation, registration fees will be refunded. 

c. If the individual artist is unable to participate, CFEVA must be notified as soon as possible.  

d. If an individual cancels their participation at the last-minute (I.e., after the print collateral is in circulation) it is the responsibility of the individual to notify their channels they will no longer participate. Artists not able to open their studios are expected to provide signage indicating they are no longer able to participate.  

e. In the event of an emergency cancellation, individuals should contact CFEVA in a timely manner. 

  

11. Survey 

a. After the event, participants will be sent a participation survey to complete.  

b. By registering for POST 2024, participants agree to be added to CFEVA's mailing list. They can unsubscribe at any time by clicking 'unsubscribe' or contacting a CFEVA staff member directly. 

 

12. Termination of Participation: 

a. The event organizers reserve the right to terminate the participation of any individual who violates the terms and conditions. Failure to adhere to any of the above may hinder one’s ability to participate in the future. 

  

13. Acceptance of Terms: 

a. By registering for the Philadelphia Open Studio Tours, artists agree to abide by these terms and conditions.
